1       Understanding Synerion Agile Billing

1.1      WHEN DOES MY BILLING START?

Our Agile Cloud SaaS customers start to be billed for the service once the system is configured by our implementation team and user credentials and access to the system is provided. Your first bill will be based on your usage for the first complete month following the start of billing (partial months are not billed). The invoice for the previous month’s usage is sent on the 20th of the following month.

For example: If you are active and billing starts on Feb 15th, on April 20th, you will be sent an invoice for the services used for the complete month of March. Services between Feb 15th and March 1st are not billed.

1.2      How Does Billing Work?

Synerion will invoice you based on the previous month’s usage. Usage is defined as the maximum number of active employees within the system. The bill is based on the peak number of active employees for the month in question.

For example: Company ABC has 80 regular employees in the calendar month of March. During the week of March 15th, they activated another 20 employees, making the total for that week 100 employees. They will receive a bill on April 20th for the month of March for 100 employees times their monthly rate.

1.3       How is the rate per employee calculated?

At the time of purchase you were given a per employee rate by Synerion based on which modules you are using in the system. This rate remains the same for the duration of the contract period (does not vary based on usage), and therefore the bill will vary only based on number of active employees.
For employee self-service (ESS), you are billed only for the number of active employee self-service users during the month. There are different rates based on type of ESS account (for example timesheets is a different rate than web punch users) that would have been specified at the time of purchase.

1.4    HOW ABOUT MY ADMIN USERS- DO THEY COUNT TOWARDS BILLING?

Every SaaS account comes with an admin user account. Every user account is tied to a specific login /person in your organization. If additional users are required, they are charged on a per user per month basis, whether they are active or not. If you want to change the number of users in your system, you must contact Synerion in order to change your license.

1.5    HOW DO I KNOW HOW MANY EMPLOYEES ARE ACTIVE IN THE SYSTEM?

An admin user in the system has access to the System Info Tab (see screenshot below). In the system info tab, the number of active users at any moment in time can be viewed

1.6  HOW CAN I DEACTIVATE EMPLOYEES THAT ARE NO LONGER WORKING FOR US?

In the software itself there are step-by step instructions, if you search for “deactivate” or “employee” or “leaves” you will find it.


To make an employee inactive, look up the employee’s record in the employee profile, and then uncheck active and click save. This employee will now not count as active in the next month’s billing cycle.
